Most steel suppliers treat their sample process as a black box. You send an inquiry. Some weeks later, maybe, a package arrives. What happened in between is a mystery.
We think that's a missed opportunity to build trust. Every sample shipment is a trial run of our entire supply chain, condensed into one week. If we can ship a 3 kg sample to Ohio in 6 days with full documentation, we can ship 5 tons to the same customer's port in 18 days with the same consistency. The sample is the pitch.
Here's exactly what happens between your sample request and the box arriving at your door. Numbers are from our actual shipping log, not marketing claims.
The Full Timeline: Day 0 to Delivered
Intake & Specification Lock
You tell us what grade, approximate dimensions, and target hardness. We confirm stock availability for that specific combination. If it's a standard grade we have on hand, we commit to shipping within 48 hours. If it's a custom dimension or unusual hardness, we tell you within 2 hours whether it's 48 hours or 5-7 days for prep.
Cutting, Testing, Documentation
From our bonded stock, we cut a sample coil to your specified dimensions (typically 20-50mm wide, 1-5 kg weight). The cut piece goes through hardness testing at three points (head, middle, tail) using our Rockwell C tester. We generate a per-sample test certificate with the measured values and a mill certificate with the chemical composition for that batch.
Packaging & Customs Prep
Steel strip has sharp edges and is magnetic. Both cause problems in international shipping if packed wrong. Our sample packaging protocol: wrap in oil-treated VCI paper (prevents rust), place in a custom-cut wooden crate sized to the shipment, seal with magnetic shielding tape, and include a silica desiccant packet. The customs declaration is pre-filled: "STEEL STRIP SAMPLE - NO COMMERCIAL VALUE - TECHNICAL EVALUATION", declared value under $50 USD.
Carrier Pickup
For North American samples under 5 kg, we default to EMS (5-8 business days, ±$120 to most US zips). For faster delivery, DHL or FedEx Express (3-5 days, $180-$280). Your choice. For samples over 5 kg or for buyers who want specific chain-of-custody handling, we use DHL with signature-required delivery.
Flight & Customs Clearance
Most samples clear customs on the first attempt with our pre-filled documentation. The "sample, no commercial value" declaration under $50 USD avoids most duty and broker fees in the US, Canada, EU, UK, and Australia. In 10+ years, fewer than 2% of our sample shipments have encountered duty issues, and in those cases we reimburse the fee.
Last-Mile & Confirmation
Package arrives. Tracking confirms delivery. Our system sends you a courtesy message asking whether the package arrived undamaged and the documentation is complete. If anything is wrong, we re-ship at our cost within 48 hours. If everything is good, the sample is yours to test however you want, no strings attached.

The slowest region is Latin America, primarily due to customs clearance variability. The fastest is East Asia (no surprise, geography). On-time rate is measured against the shipping company's guaranteed delivery window, not against our internal estimates.
What Can Go Wrong (and How We Handle It)
Sample shipments fail occasionally. Here are the three most common failure modes and our standard responses:
1. Customs Holds the Package
Most often because the customs officer wants additional documentation, or the recipient country has specific requirements we didn't anticipate. When this happens, our ops team works directly with the carrier to resolve within 24-48 hours. We cover any clearance fees. The receiver never pays a surprise charge from us.
2. Package Arrives Damaged
Steel is heavy. It can punch through cardboard if the wood crate fails. When this happens (about 1 in 300 shipments), we overnight a replacement and file the insurance claim on our end. The receiver is not asked to return the damaged goods or deal with the carrier.
3. Wrong Specification Shipped
This is the worst failure because it wastes the receiver's testing time. When we catch it in our own documentation review, we hold the shipment and re-prep. When we don't catch it and the receiver discovers it, we ship the correct sample overnight at our cost and include a prepaid return label for the wrong one. The receiver keeps the wrong one if they want it for alternate use.
Our service standard: Any sample problem is our problem. Not yours. You should not have to chase a customs broker, argue with a carrier, or wait for an insurance claim. If something's wrong with the sample, we fix it.
What's Included in a Sample Pack
Standard sample kit (shipped within 48 hours of confirmed order, no charge to you):

- Mill certificate with chemical analysis for that production batch
- Packing list with grade designation, heat number, and batch date
- Datasheet for the grade (properties, typical applications, heat treatment guidance)
- Technical contact card for our metallurgist if you have questions during testing
Optional additions (also no charge):
- Two or three finished blade segments cut and hardened to your typical production spec
- Multiple grades for side-by-side testing (up to 3 grades in one shipment)

Why We Do It This Way
Free samples cost us real money. A typical sample pack runs $15-$40 in materials, labor, and shipping. We ship several hundred samples a year. That's a meaningful line item.
We do it because the alternative is worse. If we charge for samples, buyers hesitate. If buyers hesitate, they never test our steel. If they never test our steel, we never earn the opportunity to quote production orders.
More importantly, the sample process is our product. If we can't cut to spec, test accurately, package safely, ship on time, and document everything for a 3 kg sample, we can't do it for a 3 ton production order. The sample trial is our supply chain under a microscope. Every step has to work or we don't deserve the next order.
The competitive reality: Any steel supplier can claim "free samples." The differentiator is what happens next. We document every step so you can verify our process is real, not marketing copy. Compare our sample experience to your current supplier's and make your own judgment.
